Managed IT Services Pricing Australia: 2026 Guide

Quick answer: there is no dependable single “Australian average” for managed IT services. Providers price different combinations of help desk, monitoring, security, backup oversight, onsite work and strategic advice. A useful comparison starts with the same number of users and devices, the same support hours, and a written list of inclusions and exclusions.

This guide uses public prices checked on 29 July 2026 as dated examples, not market averages. All calculations are illustrative. They are not quotes and they do not recommend a provider.

What public pricing can—and cannot—tell you

The current search results for managed IT services pricing in Australia are dominated by service providers. That is useful for seeing how individual offers are structured, but it is not neutral evidence of an industry-wide average.

One transparent example is Milnsbridge’s June 2026 price page. It lists three plans at $109, $119 and $169 per seat per month, excluding GST, with a 10-seat minimum. The inclusions change by tier. Its entry plan includes three hours of remote support, while the two higher tiers advertise unlimited remote and onsite support under different support hours. Those are that provider’s prices and terms, not a national benchmark.

A separate cost may be productivity licensing. Microsoft’s Australian list price for Microsoft 365 Business Premium was $32.90 per user per month, paid yearly and excluding GST, when checked for this article. An MSP may include licence administration without including the licence itself. Ask the question explicitly.

The five pricing models you will see

Hybrid agreements are common. For example, a business may pay per user for support, per device for endpoint management, and a separate project fee for a cloud migration. Do not compare only the first line of two proposals.

What changes a managed IT quote

  • Users, devices and sites: count employees, contractors, shared computers, servers, network devices and locations separately.
  • Support window: business-hours help desk, after-hours escalation and genuine 24/7 response are different services.
  • Onsite coverage: check whether travel, call-out minimums and regional visits are included.
  • Environment complexity: older servers, custom applications, multiple cloud tenants and undocumented networks require more work.
  • Security scope: endpoint detection, email filtering, vulnerability scanning, privileged-access controls and staff training may be included, optional or absent.
  • Backup responsibility: “backup monitoring” is not the same as paying for backup storage, defining retention, testing restores and accepting recovery targets.
  • Response commitments: a fast acknowledgement is not a guaranteed resolution. Compare priority definitions, response targets and service credits.
  • Onboarding and remediation: discovery, documentation, agent deployment, account clean-up and replacing unsupported systems may be one-off charges.

A transparent published-price example

The table below applies one provider’s published June 2026 seat prices. It is useful for checking arithmetic, not for estimating the entire Australian market.

For a 10-seat business, Microsoft 365 Business Premium at Microsoft’s checked list price would add $329 per month excluding GST if the licences were separate. That does not mean Business Premium is required for every business or that it satisfies a complete security framework by itself.

Turn the monthly headline into a first-year budget

A monthly seat price is only one line. For a 25-seat illustration, the published $119 plan produces $2,975 per month or $35,700 per year excluding GST. If Microsoft 365 Business Premium were separate at the checked $32.90 list price, 25 licences would be $822.50 per month or $9,870 per year excluding GST. The combined arithmetic is $45,570 before onboarding, projects, hardware or other subscriptions.

This is still not a quote. It uses one provider’s plan and Microsoft’s direct list price without confirming technical fit, discounts or licence eligibility. Build your own first-year total with:

  • 12 months of recurring support and licences;
  • onboarding, documentation and initial remediation;
  • known projects and hardware replacement;
  • after-hours or incident-response contingency; and
  • contract indexation and expected staff growth.

Also model the second year. A proposal with a larger onboarding fee may have a lower ongoing total, while an introductory discount may reverse after renewal.

The Australian Government’s guidance on written quotes recommends clear descriptions, itemised and total costs, GST where applicable, variations, payment terms, timing and an expiry date. Apply the same discipline to an IT proposal.

Do not treat “managed” as a security specification

ASD’s Australian Cyber Security Centre recommends that small businesses start with multi-factor authentication, software updates and backups, then consider Maturity Level One of the Essential Eight. Its questions for managed service providers also cover secure administration, monitoring and regular vulnerability assessment.

Ask a bidder to map the service to concrete activities and evidence. “Security included” is weaker than a schedule naming the protected systems, patch timeframes, alert ownership, escalation path and reporting you will receive.

Pricing red flags

  • “Unlimited” support without a fair-use definition, exclusions or support window.
  • A low per-user fee that omits mandatory security, backup or monitoring add-ons.
  • A response-time promise with no priority definitions or resolution process.
  • No written responsibility matrix for the MSP, customer and software vendors.
  • No exit process for credentials, documentation, domains, cloud tenants and backups.
  • Comparing an ex-GST headline with a GST-inclusive total.
